The Workflow Analytics dashboard provides insight into the review and approval processes occurring across your organization’s content and authoring components. This dashboard allows users to monitor the number of workflow instances, approval outcomes, and the average duration of each review stage.
This page can be accessed from the top navigation menu by selecting Analytics → Workflow.
The page header and breadcrumb path both display Workflow Analytics.

Tabs and Data Categories #
The Workflow Analytics dashboard is organized into four main tabs, allowing users to filter workflow metrics by component type:
- Content – Displays workflow activity related to Smart Docs, Smart Pages, and other published content.
- Authoring Components – Shows workflow data related to Smart Shells, Templates, and reusable authoring elements.
- Data Components – Includes workflow activity associated with Data Objects, Data Blocks, and related data assets.
- Other – Captures workflow instances that do not fall within the above categories such as Client Portal Users Approval Workflows.
Each tab displays data specific to its component group while maintaining the same overall layout and metrics.
Workflow Instances Panel #
The Workflow Instances panel summarizes the total number of workflow instances processed during the selected time period. Each instance represents a content or component item that has gone through one or more review stages.
The panel displays a breakdown of instance outcomes in the following order:
- Approved by Reviewers – Items that completed the review cycle with approval.
- Rejected by Reviewers – Items that were rejected during the review process.
- Auto Approved – Items automatically approved based on system-defined criteria.
- In Progress – Items that are still under review.
- Reviewed by Compliance – Items that have completed compliance review.
A percentage bar is shown for each category, representing the proportion of total workflow instances that fall under that outcome type.
Average Duration per Instance Panel #
The Average Duration per Instance panel provides timing metrics for workflow processing during the selected period. It displays the average duration of review activities across the same categories listed in the Workflow Instances section:
- Approved by Reviewers
- Rejected by Reviewers
- Auto Approved
- In Progress
- Reviewed by Compliance
This information helps administrators and managers assess how long typical workflows take to complete and identify bottlenecks in the review cycle.
Review Details for Workflow #
The Review Details for Workflow table provides a detailed record of each workflow instance. For each record, the following fields are displayed:
- Name – The name of the item reviewed.
- Version – The version number of the reviewed content or component.
- Content Class – The classification of the item (for example, Dynamic or Static).
- Content Type – The specific type of content or data element.
- Strategy – The related investment strategy or configuration.
- Account / Product – The account or product associated with the workflow.
- Submitted Date – The date the item entered the workflow.
- Approved Date – The date of approval, if applicable.
- Duration – Total time spent in the review process.
- Compliance Reviewed – Indicates whether a compliance review was completed.
- Status – Displays the final status of the workflow instance.
The search field at the top of the table allows users to filter specific items by name or keyword.
Filters and Date Selection #
The Workflow Analytics screen provides multiple filters to refine displayed data, including:
- Time Period – Allows users to select a predefined time range (for example, Last 7 Days, Last 30 Days) or define a custom date range.
- In this version, quick access items now appear on the left side of the dropdown, followed by the calendar selector on the right, reflecting the latest UI updates.
- Content Class – Filters workflow data by Dynamic, Static, or other classifications.
- Content Type, Strategy, and Compliance – Enable more specific filtering of workflow metrics by category.
