The Client Portal User Workflow in Assette enables internal users to approve and manage external end users—typically the firm’s clients—who are granted access to the Client Portal. These external users are not typically employees of the firm but rather are institutional or individual clients who view published reports and data through a white-labeled Client Portal environment (e.g., “Assette Capital Client Portal”).
This workflow ensures that access to sensitive client-facing content is securely provisioned, reviewed, and approved before external users are granted access.
Purpose #
The Client Portal User Workflow governs the approval process for onboarding external users. It provides a control mechanism to:
- Review and approve who is allowed to access a firm’s Client Portal
- Ensure each external user is linked to the correct client entity
- Confirm visibility settings (e.g., which client(s) and report(s) the user can see) prior to enabling access
This workflow is essential for maintaining compliance and access control when firms use Assette to distribute materials to their clients.
How the Workflow Works #
The process follows a structured approval pattern and includes the following steps:
- Initiate a New Client Portal User Request
- Assign Client Relationships and Permissions
- Submit for Approval
- Review and Approval by Authorized Internal User
- User Activation and Notification
An internal user at the firm begins by creating a new client portal user entry from the Users area within the Assette Admin app.
- The user’s name, email address, and other identifying details are entered.
- The system automatically routes this record into the Client Portal User Workflow for approval.
- A draft status is applied while the entry is being prepared.
2. Assign Client Relationships and Permissions #
Before submitting the new user for approval, the firm’s internal user must:
- Assign the user to the appropriate client(s) they represent
- Set the audience, DFA method, etc.

3. Submit for Approval #
Once the user setup is complete, the record is submitted into the Client Portal User Workflow for review.
- The status changes to Pending Approval
- An approver—typically a designated administrator or data steward within the firm—is notified
4. Review and Approval by Authorized Internal User #
The designated approver reviews the user record and associated access settings:
- If approved, the user status is updated to Active
- If changes are needed, the request can be rejected
Approval ensures that only properly reviewed external users gain access to client-facing content.
5. User Activation and Notification #
Once approved, the user is eligible to access the Client Portal.
- If email invitations are enabled, the user receives an email with instructions to log in
- The user logs into the white-labeled Client Portal branded for the firm (e.g., “Assette Capital Client Portal”)
