This template outlines all required steps to implement the Assette RFP Module in your environment. Each step includes a What, Why, and Action Items section to guide your team through setup and configuration, with clear accountability and documentation checkpoints.
Subject Mater Expert (SME) Setup #
What: Involve subject matter experts to review data integration, content accuracy, and response language.
Why: SMEs ensure all provided answers, both structured and narrative, are technically accurate, compliant, and reflect the firm’s current positioning.
Action Items:
- Assign SMEs for key content areas. See
- Review draft answer blocks in the RFP interface.
- Validate data alignment and embedded narrative.
- Approve content for internal use.
Ingest Marketing Collateral and Prior RFPs #
What: Upload key sales and marketing documents and incorporate past RFP responses.
Why: Leveraging existing approved material accelerates the time to value and reduces the manual effort needed to build the response library.
Action Items:
- Submit pitchbooks, factsheets, and presentation materials.
- Upload prior RFPs completed within the last 12–24 months.
- Tag and map content for relevance and reuse.
- Confirm visibility in the response generation interface.
Optional – Qualitative Data Setup #
What: Configure qualitative data such as firm overview, strategy narratives, and personnel biographies for structured use in RFP responses.
Why: Although not required, setting up this qualitative information as structured content allows for more accurate, consistent reuse and reduces dependency on static documents or ad hoc writing.
Action Items:
- Review and curate firm-level narratives (e.g., history, philosophy, compliance).
- Identify key strategies and write standardized descriptions.
- Create or update bios for investment professionals and firm leadership.
- Organize content into retrievable blocks or narrative objects.
- Validate where and how qualitative content appears in RFP responses.
QA and Initial Testing #
What: Conduct structured quality assurance testing across module components.
Why: Testing validates that all parts of the RFP Module—launcher, data retrieval, formatting, and content—work as intended before general use.
Action Items:
- Complete defined test cases using actual data.
- Validate output formatting and accuracy.
- Report and resolve issues in collaboration with Assette.
- Sign off on initial configuration.
Training and Transition #
What: Train internal users on how to use the RFP Module and establish ownership for ongoing maintenance.
Why: Proper training ensures user adoption and system sustainability by empowering your team to manage content updates and data changes.
Action Items:
- Schedule training sessions with Assette (live or recorded).
- Provide documentation and usage guides internally.
- Assign module owners or administrators.
- Confirm readiness for go-live.
